Job title: Monitoring & Evaluation Assistant
Direct Supervisor: M&E Officer/MER Manager
Location: Kigutu, Burundi
Position Type: Full-Time

Key Responsibilities:

1. Data Collection & Monitoring (30%):
• Conduct routine monitoring visits to VHW’s health, education, and community engagement sites to collect accurate data on program activities, outputs, and outcomes.
• Assist in the development and testing of data collection tools such as surveys, focus group discussion, and observation checklists.
• Ensure timely, accurate, and complete data entry into databases or reporting systems (e.g., KoboToolbox, ODK).

2. Data Analysis & Reporting (20%):

• Assist in data cleaning, analysis, and preparation of summary reports for internal and external stakeholders.
• Support the creation of visualizations (e.g., charts, graphs) to present program performance against indicators.
• Assist in identifying trends, gaps, and challenges in program implementation based on collected data, and suggest actionable recommendations.

3. Training & Capacity Building (15%):

• Support training of field staff and community members on M&E tools, processes, and data collection methods.
• Ensure that all data collection is conducted according to high standards of quality, ensuring accuracy, consistency, and reliability.

4. Documentation & Knowledge Sharing (15%):

• Maintain organized records and filing systems for M&E documents, including raw data, reports, tools, and other program materials.
• Contribute to knowledge-sharing initiatives and ensure lessons learned and best practices are documented and disseminated across VHW’s teams.

5. Responding to Inquiries and Complaints (10%):

• Handling Calls and Messages: M&E Assistant is responsible for answering incoming calls and responding to messages from beneficiaries, or the general public.
• Addressing Queries: Providing clear, accurate, and timely information on services, policies, or any other related queries.
• Escalating Issues: When necessary, escalating complex issues or unresolved complaints to senior staff or relevant departments.

6. Ad-Hoc Tasks (10%):

• Provide support to the M&E team on ad-hoc tasks, including preparing materials for meetings, workshops, and reviews.
• Participate in community and stakeholder engagement activities related to M&E.

Required Qualifications and Skills

Educational Qualifications

1. Bachelor’s degree in Monitoring & Evaluation, Social Sciences, Public Health, Statistics, or another related field.
Professional Experience
2. Minimum of 1–2 years of relevant experience in monitoring and evaluation, data collection, reporting, or program support, preferably within health, education, humanitarian, or community development projects.
3. Proven experience in field data collection, including surveys, interviews, focus group discussions, monitoring visits, and observation checklists.
4. Experience in responding professionally to inquiries, complaints, and requests from beneficiaries and community members.
5. Ability and willingness to travel regularly to field sites and support monitoring activities in health, education, and community settings.
Technical Skills
6. Familiarity with digital data collection and reporting platforms such as KoboToolbox, Open Data Kit (ODK), or other similar tools.
7. Strong analytical skills with the ability to clean, interpret, analyze, and visualize data through charts, tables, and graphs.
8. Good knowledge of Microsoft Office Suite, especially Microsoft Excel, Microsoft Word, and Microsoft PowerPoint.

Language Requirements
13. Fluency in Kirundi and/or French is required. Knowledge of English is considered an added advantage.
